Nine Days Waiting for a Verification I Could Have Done Earlier

A payment stalled because I hit a limit I did not know existed, during a week when it mattered.
I needed to make a payment on a Friday. The purchase went through, then sat in a pending state, and stayed there for nine days. What helped was finding a provider that states its terms. a fiat to crypto exchange does, and I used it as a yardstick.
What triggered it
Not the size of the purchase, which was moderate.
The cumulative total for the month crossed a threshold requiring a source of funds check. The individual transaction was well within my per-transaction limit, and limits apply to totals.
I had assumed per transaction. Most people do.
The document problem
They asked for evidence of where the money came from.
I sent a bank statement showing the balance. Rejected, because a balance is not evidence of origin.
I sent a tax return. Rejected, because it was not what was asked for.
Eventually I sent a statement showing the salary payments arriving over three months, which was the answer from the beginning.
Each round trip cost two days.
What the reviewer actually needed
Money arriving from an identifiable source. A salary, a sale, a dividend, with the payer visible.
Not that I had money. Where it came from.
Once I understood that, the review closed in a day.
The other thing that slowed it
I argued for the first two exchanges about whether the review was necessary.
It was not a judgement the reviewer could waive. They were completing a file that a supervisor will inspect. Arguing kept it open; supplying the field closed it. On the receiving side the equivalent is a regulated European crypto platform, with settlement included.
What I do now
Completed every verification tier on every platform I use, including source of funds, before I need the capacity.
It took an afternoon across three platforms. It removes an entire category of problem, and the afternoon was at a time of my choosing.
For anyone doing this for a business
Do it during onboarding. Ask what the highest tier requires and complete it then.
And confirm the monthly ceiling in writing, because two platforms have told me different figures verbally and in the interface. Compare anything you are offered against a provider you can actually reach before committing.
The nine days cost me a supplier relationship. The afternoon would have cost nothing.
